We are committed to protecting and respecting your privacy and this Policy (together with our Terms of Use, Cookie Policy, Acceptable Use Policy and any other documents referred to on it) explains how we collect, use and disclose personal data through the Online Open Day website.

All users

When you visit our website or use our platform we may collect technical information, including the Internet Protocol (IP) address used to connect your computer to the internet, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform.

We also collect information about your visit, including the pages that you visit, the date and time, page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page.

We use this data to optimise your visit to the website, help us identify any problems and analyse how we can improve your experience in the future. This information is collected through cookies and third-party services, such as Google Analytics.

Students

As an Online Open Day attendee, you must provide the following information to use the Online Open Day website:

  • Personal data, including first name, last name, email, course of interest, year of entry considered and country

 

We collect data through a variety of methods, including in forms on Springpod, by corresponding with us by phone, e-mail or through live chat. This includes information you provide when you register to use our site, subscribe to our service, participate in discussion boards or other social media functions on our site, enter a competition, promotion or survey, and when you report a problem with our site.

Your data is stored securely using our hosting provider, Amazon Web Services. Your data is never transferred outside of the EU.

We keep your personal data for 1 year from the last time you used Online Open Days. We retain this information so that you can easily access your account and in case you need to make a complaint. Non-personal data is stored indefinitely.

You have the right to be informed when we collect data

  • Comprehensive details of the data that we collect is included in this Policy and summaries are prominently displayed throughout Online Open Days.

You have the right of access to your data

  • The data Online Open Days collects to give you the best experience possible is yours. You have the right to request it whenever you want. Please submit a request to our DPO by emailing dpo@springpod.co.uk. Once a request is received, we will send you your data within 2 working days. There is no charge for this service.

You have the right to change any incorrect data

All personal data we process can be rectified if inaccurate or incomplete. This can be done by contacting the DPO by emailing dpo@springpod.co.uk who will complete within 5 working days from the request.

You have the right to be forgotten

You can request that all of your data is permanently deleted. This can be done by contacting the DPO by emailing dpo@springpod.co.uk who will complete within 5 working days from the request.

You have the right to prevent Springpod processing your data

If a user wants to restrict us from processing your data, you can do this by contacting the DPO by emailing dpo@springpod.co.uk who will complete within 5 working days. Once this is done, you will not be able to use your account as we will not be able to process your data. 

You have the right to move your data

If you want to move your data for any reason, you can request your data in a CSV format by contacting the DPO by emailing dpo@springpod.co.uk who will complete within 5 working days.

We will not use your data for profiling or marketing

We will use your data to inform you about talks during the Online Open Day that you have registered for. Your data will be provided to the university, college or school that we are running the Online Open Day for. Your data will not be used by Springpod for profiling or any additional marketing. This is explained prominently during the registration process. 

Our website uses cookies to distinguish you from other users of our website. This helps us to provide you with a good experience when you browse our website and also allows us to improve our site. Your data will be provided to the organiser of the Online Open Day. This will normally be a university, college or school that is the subject of the event. You agree expressly during registration that you are happy for this transfer to occur.

We may also utilise some third party companies to help us improve your experience of our website and platform and some of your data might be passed to these providers. These include:

  • Segment – We use Segment to provide a way of integrating our marketing, automation and analytics activities and ensure data integrity between all areas. Segment provides us with a single point for deleting a user’s data, ensuring swift reactions to data deletion or data processing desist requests.   • Paperform – We use Paperform to provide data capture forms on our marketing website, such as demo request forms and contact forms. Please see https://paperform.co/gdpr for how they comply with GDPR.
  • Google Analytics – We use Google Analytics to track users on our marketing website and once logged in to the platform. We capture the pages visited, duration of stay, user device and more. We use this information to optimise your experience of our site and identify any problems.   • Hubspot – We use Hubspot CRM to manage our marketing database. Please see https://legal.hubspot.com/privacy-policy for how Hubspot complies with GDPR.
  • Heysummit – We use the Heysummit platform to operate some of our online events, including but not limited to Learn Lounge, Online Open Days and Online Insight Days.
